L2 Administration Assistant
The Administration Assistant Apprenticeship Standard is designed to provide foundational administrative skills for individuals starting their careers or transitioning into administrative roles, particularly those who may not have strong academic backgrounds. This apprenticeship offers practical, hands-on experience while building confidence in workplace procedures.
An Assistant Administrator is an integral part of the team and organisation, responsible for supporting the efficient organisational functions and operations. An employee in this occupation will be responsible for routine administration tasks directed by supervisors, providing support to meet the needs of the organisation.

Duration
Aims of this qualification
- Duty 1 – Communicate with stakeholders using appropriate methods and professional language. This may include letters, phone, face-to-face, e-mail, video call, online chat functions or digital platforms.
- Duty 2 – Support internal or external events or meetings, in person or online, following organisational policies and procedures.
- Duty 3 – Access and store information securely in line with organisational requirements for future use and recovery. For example, physical and or digital filing systems.
- Duty 4 – Use software packages to collate, input and extract data and information in line with organisational requirements. For example, updating office databases, stakeholder records or notes, finance records, CRM systems or sending mailshots.
- Duty 5 – Format and input data in line with organisational requirements. For example, redacting information, stakeholder details, expenses, travel and routine reports. Report or escalate errors, breaches or concerns to the supervisor or line manager.
- Duty 6 – Provide support to team members to help ensure that activities are carried out within agreed timescales, budgets and quality expectations. For example, ordering and reporting on office resources or sourcing information. Inform the line manager or supervisor of any changes, anomalies or concerns.
- Duty 7 – Identify, collate and handle data and information from different sources such as business, stakeholder records and delivery notes. Share securely, confidentially and in line with organisational expectations and requirements.
- Duty 8 – Be aware of the organisation’s priorities and activities, and how the role supports these. For example, undertaking routine tasks such as presenting information and producing documents.
- Duty 9 – Identify issues and escalate problems to others when beyond remit.
- Duty 10 – Plan and review workload with supervisor to ensure best use of time to complete allocated tasks to deadlines.
- Duty 11 – Keep up to date with sector developments to enhance skills and follow a continuous professional development plan.
On-Programme Learning/Delivery
On-programme assessment of the knowledge, skills and behaviours will lead to the final synoptic end-point assessment.
Apprentices will be allocated a qualified tutor to support the full completion of the apprenticeship and prepare them for the apprenticeship assessment (sometimes 2 tutors will be required at different times for teaching different elements). The tutor will undertake engaging and interactive teaching, learning and support sessions with the apprentice on a regular basis (at least every 4-5 weeks), either remotely via Microsoft Teams or in the workplace if appropriate, to conduct teaching, learning and assessments. These will be planned with the apprentice and employer.
The tutor will manage a portfolio of evidence using an online electronic system called OneFile and give regular updates about progress. Apprentices can contact their tutor in between visits to discuss any aspect of their qualification and will be able to access their online portfolio 24/7.

Assessment Gateway
Before the apprentice is adjudged ready to undertake the apprenticeship assessment by their employer and training provider, they will need to:
- receive confirmation from the employer that the apprentice is deemed to be working at or above the level set out in the apprenticeship standard and ready to undertake the apprenticeship assessment.
- confirm that they are ready to take the apprenticeship assessment.
- achieve Level 2 in English and maths Functional Skills (if applicable).
The purpose of the apprenticeship assessment is to test (in a synoptic way) the knowledge, skills and behaviours of the apprentice as set out in the apprenticeship standard.
The apprenticeship assessment:
- provides apprentices with a showcase opportunity to provide oral and documentary evidence of their knowledge, skills and behaviours developed throughout the apprenticeship.
- enables the independent assessor to assess the skills and behaviours of the apprentice by observing the apprentice in the course of their normal work.
- tests the knowledge acquired by the apprentice throughout the apprenticeship.
